Consult with customers to understand meeting objectives and factors important to the design of each meeting or event; make recommendations and provide guidance to ensure effective plan

Creative Design & Themes

Develop and implement designs, themes and marketing campaigns to promote meeting, help increase program participation

Meeting Room Set-Up

Coordinate all meeting function space to include room seating arrangement, audio/visual production setup & teardown

Budet Management

Develop program budget and manage/approve all logistical expenditures throughout the planning process, negotiate service contracts

Virtual Meeting Components & Technology

Coordinate all virtual and hybrid meeting elements to deliver event content globally

Site Selection & Contracting

Conduct site search via industry software, recommend property that is best-suited to host meeting, and negotiate the terms and conditions of contract to include concessions

Attendee Communications

Communicate all program logistics and individual confirmation information directly to program attendees, monitor attendee responses using the customized reports for participant registration and tracking

Event Project Management

Manage the entire project with proven techniques by certified project (PMP) & meeting managers (CMP)

Hotel Acommodations

Manage contractual room block and all guestroom reservations directly with the hotel

Vendor & Supplier Coordination

Manage meeting vendors to include venues, transportation, hotels, caterers, audio visual/production, security, entertainers and speakers

Air & Ground Accommodations

Liaise with group air travel & ground transportation suppliers to facilitate travel arrangements for all program attendees, track air arrivals, departures and group travel

On-Site Travel Program Leadership

Provide on-site meeting logistic and vendor management, maintain service desk to assist program attendees
