How we actually do it

From discovery to show day — and the debrief you actually want to read.

Four honest phases. Click any card below to see how we run it — including the specific plays we call for corporate meetings, associations, and industry conferences. ↓ tap the cards

01

Discover

The 'listen first, sell later' phase.

We start with questions, not a sales pitch. Goals, audiences, KPIs, and the realities nobody wants to say out loud.

Peek behind the curtain

What happens

  • Explore event objectives and requirements
  • Working session with your event owner + stakeholders
  • Audience, KPI, and budget alignment
  • A one-page canvas your exec team actually reads

The recipe stays in the kitchen — we’ll walk you through it live.

02

Configure

The 'chef's kitchen' phase.

This is where the solution gets stood up — quietly, methodically, and always in a sandbox before it touches your attendees.

Peek behind the curtain

What happens

  • Project & logistics planning
  • Workflow, brand, and content tuned to your audience
  • Integrations wired to your existing systems
  • Sandbox rehearsal to catch the ugly edge cases early

The recipe stays in the kitchen — we’ll walk you through it live.

03

Launch

The 'lights, camera, action' phase.

Show day. Doors open. Nothing breaks — because we already broke it in rehearsal. We stay from load-in to strike.

Peek behind the curtain

What happens

  • Named onsite tech lead + trained showrunners in-room
  • 24/7 communications bridge with your team
  • Redundancy on every mission-critical layer

The recipe stays in the kitchen — we’ll walk you through it live.

04

Optimize

The 'you're already planning next year' phase.

Post-event isn't a report — it's a decision. We hand you the details that shapes the next event or program.

Peek behind the curtain

What happens

  • Executive dashboard delivered within days, not weeks
  • Sponsor, session, and attendee signal you can act on
  • Debrief workshop: what to keep, kill, or dial up

The recipe stays in the kitchen — we’ll walk you through it live.

P.S.

Coffee’s on us. Bring your messiest event and we’ll map a plan on a napkin.

Event Technology FAQs

10 questions every event owner asks — answered plainly.

From platform selection to show-day Wi-Fi, here’s the event tech field guide we wish every planner had before their first RFP. Still stuck? Our team is one click away.

01What exactly is 'event technology'?
Event technology is the connected solution of software and hardware that runs your program end-to-end — attendee registration, event apps, badge printing, on-site check-in, digital signage, session polling, lead retrieval, and post-event analytics. Modern event tech unifies these tools into one dashboard so nothing lives in silos.
02What's the difference between event tech and AV?
AV (audio-visual) is the physical production layer — sound, lighting, screens, staging. Event tech is the data and experience layer — how attendees register, arrive, engage in sessions, network, and how you measure it. Best programs treat them as complementary and integrate them under one show-caller.
03How do I choose the right registration platform?
Match it to your program complexity. For under 300 attendees a simple form + payments works; for 500+ with tracks, VIPs, sessions, and reporting, you need workflows, invitation logic, and CRM sync. Also verify their SLA, GDPR/CCPA posture, and how badge / on-site check-in integrates — most 'gotchas' hide there.

04What is a hybrid event, and what tech do I actually need?
A hybrid event serves both in-person and remote attendees simultaneously. Minimum solution: a streaming platform, an event app that mirrors both audiences, moderated Q&A, and one unified analytics view. Skip 'virtual venues' unless the audience really benefits — attention is scarcer online than in-room.
05How do I make sure the venue Wi-Fi can handle my attendees?
Rule of thumb: 2–3 devices per attendee, ~2 Mbps down / 1 Mbps up per device for a smooth session. Ask the venue for their bandwidth commitment in writing, request dedicated event SSIDs, and — for anything over 300 pax — bring in a temp AP overlay from a specialist. We handle the site survey for you.
06What post-event metrics actually matter?
Attendance rate vs. registered, session attendance heatmap, dwell time per booth/exhibitor, poll & Q&A engagement, NPS/CSAT, and pipeline influenced (if it's a marketing event). Vanity metrics like 'total impressions' rarely help — tie tech metrics back to your original event objective.

07How does on-site badge printing and check-in work?
Attendees confirm at a kiosk or by scanning a QR from their confirmation email; the badge prints in under 3 seconds with role-based color coding and access track markers. Best-in-class systems reprint lost badges instantly, hard-block ghost registrations, and stream a live attendance count to your dashboard.
08What are 'integrations' and why do they matter?
Integrations are the automated data bridges between your registration platform, CRM (Salesforce/HubSpot), event app, marketing automation, and finance systems. Without them, you spend weeks reconciling spreadsheets. With them, a new registration flows straight to sales and finance in real-time.
09How much should I budget for an event tech solution?
Example: For a 500-person conference expect $18K–$45K for the tech layer alone (platform, app, on-site hardware, integrations, ops), varying by complexity and duration. Bigger flagships or multi-day executive programs run 2–5x. Investing here reliably reduces total event cost — fewer no-shows, faster check-in, better sponsor ROI.
10What happens if something breaks on show day?
Every Magee Event Tech program ships with 24/7 show-day ops, a named tech lead in-room, hot spares for critical hardware (printers, scanners, APs), and a documented failover for every dependency. If something breaks, the attendee never sees it — that's the whole point.

Have a question we didn’t answer? Our senior tech leads will scope, spec, and price a solution for your next event — usually within one business day.
